How bills and invoices are coded and checked, what reaches your accounting system, and which budget tools your team sees.
Most of these are saved on your account and the app does not act on them yet. The ones already in effect are marked.
Only offer budget lines from this job
The budget-line list shows only lines that exist on this job, instead of your whole company cost-code list.
Warn before clearing cost lines
Changing the cost type on a bill clears the lines already coded. Ask first instead of clearing them silently.
Allow labels on individual cost lines
Adds a short free-text label to each cost line, for builders who track work more finely than their cost codes do.
Update the cost description when the budget line changes
Rewrites the line description to match the newly chosen budget line, instead of leaving the previous text in place.
Use the date a bill was added as its invoice date
Instead of the date printed on the document. This changes aging and which billing period a bill lands in.
Fill in the amount when there is only one cost line
A bill with a single cost line takes the invoice total automatically, so nobody retypes it.
Start a bill with one blank cost line
A new bill opens with an empty line ready to code, rather than an empty list.
Allow bills that total zero
Needed for credits, corrections, and placeholders. Off means a zero-total bill cannot be saved.
Show the billable-to-client column
Cost-plus builders mark each line as billable to the client. Off hides the column everywhere it appears.
Standard payment terms
How long a client has to pay. Every new invoice starts here; you can still change the due date on an individual invoice.
In effect now.
Block costs against an unapproved purchase order
A cost can only be coded to a purchase order once that order is Active. Draft, Pending, and Out-for-signature orders are refused.
Block costs against an unapproved change order
A cost can only be coded to a change order once it has been approved.
Require every bill to be assigned to a billing period
A bill cannot be submitted or approved until someone says which period it belongs to.
Lock a billing period once it is closed
Closing a period blocks further edits and new bills inside it, so a closed month stops moving.
Hold bills for review before sending them
Someone checks each approved bill before it reaches your accounting system. Off sends automatically on approval.
In effect now.
Skip duplicate warnings
Stop asking when a bill looks like one already sent. Only sensible if your vendors reuse invoice numbers.
Always send the billable flag
Marks every line billable in your accounting system regardless of how it was coded here.
Where bills are sent
Only matters when more than one accounting system is connected. Ask each time puts the choice on the person sending.
Send paid bills automatically
Pushes a bill again once it is paid, instead of waiting for a manual export.
Show budget adjustments
The flow for moving money between budget lines without a change order.
Show the adjustment detail popup
Clicking an adjusted figure opens the breakdown behind it.
Show the forecast column
The projected cost-at-completion column on the budget table.
Calculate change-order totals automatically
Recalculates a change order as its lines change, instead of leaving the total to be typed.
New change-order lines start in scope
Off means a new line starts out of scope and has to be marked in scope deliberately.
The change-order report shows
What a client sees on the printed change-order report.
New receipts start as pending
An uploaded receipt waits for review instead of counting straight away.
Track lien waivers
Show lien-waiver requests, status, and payment compliance. Off hides the whole feature.
Shared with Approvals & limits — one setting, shown in both places.
Who sees which company cards
Site managers seeing only the cards issued to them is a role permission, not a company-wide switch — so you can give it to some people and not others.
